# Post-Proposal Follow-Up Sequence

Sent 3-5 days after proposal delivery.
Purpose: confirm receipt, surface questions, nudge decision.

## Email 1: Day 3 (Primary)

**Subject:** Proposal sent. One question.

Hi [Name],

You have the [Standard / Enterprise] proposal in your inbox. No meeting needed unless you want one.

One question: does the scope cover what you are actually trying to solve, or did we miss a constraint.

If something is off, we trim it. If something is missing, we add it. Either way takes 20 minutes on a call.

## Email 2: Day 7 (If no reply)

**Subject:** Re: proposal — quick numbers check

Hi [Name],

Two things worth clarifying while the proposal is open.

1. The $[X] initial covers [specific scope item: e.g. deployment, digitization, training]. Monthly at $[X] covers [specific ongoing item: e.g. hosting, updates, support]. If those ratios look wrong for your budget cycle, we can restructure.

2. Your data never leaves your building. That is not a premium feature. It is the default.

If priorities have shifted, that is also useful information.

## Email 3: Day 14 (Final nudge)

**Subject:** Closing the file

Hi [Name],

The proposal expires in 48 hours. Not a pressure tactic. Our scheduling buffer moves and I need to know if we should hold it.

Three options:
- Move forward. We start onboarding within 14 days.
- Revise scope. Send feedback. We turn a new version in 72 hours.
- Kill it. Reply "pass" and the file closes. No follow-up.

## Notes for Sales Team

- Reference the exact proposal tier (Standard starting at $25,000 CAD / Enterprise at $200,000 CAD) when you fill in the numbers.
- Keep the subject line under 8 words where possible. One thought per subject.
- If the prospect replies with questions, kill the sequence and move to manual.
- No exclamation marks. No "just checking in." Concrete ask or concrete close.
